Band Auxiliary Minutes
November 13, 2007

The meeting was called to order by President Annette Sovastion. The treasurer’s report was distributed and reviewed. The minutes from the past meeting were posted on www.bandmhs.com and sent in emails.

Little Caesar’s Sales - 517 kits (pizza kits, cookie dough, & pie kits) were sold by approximately 60 kids participated . With just this few students participating we were able to earn a profit of $2,585.00. Mr. Reed has agree to split the profit between the band and the individual student accounts which goes toward future band costs.
$1292.50 profit for band and $1292.50 in profit made by the kids for their accounts.

Delivery is this coming Thursday, November 15 at 1:00 - we have several parents coming in to help organize the orders as fast as possible. Pick-up begins after school - please come a bit early to band practice so you can get your order as you are picking up your child from band. In the event band rehearsal is canceled, please make sure you pick up your orders, as we do not have ample storage space for any forgotten orders. For your convenience and flow of pizza orders, please enter at the side door by the choir room.

Elimination Dinner –The dinner is this coming Thursday evening, Nov. 15th at the Knights of Columbus. Cocktails begin at 5:30 and the dinner is at 6:30. Workers are needed and a sign up was passed. Items and baskets have been collected for door prizes and silent auctions and raffles. Currently, as of this email there are still some dinner tickets available. If you’ve not yet sold any, please contact business folk , family, friends, and especially former band members to purchase a ticket to benefit the band. Contact Renee Moore or Tracy Coup

Stadium Seats – Upcoming WVU home games requiring our groups to rent the stadium seats & collection of them at night’s end are dated for Nov. 24 (against UConn) and Dec. 1 (against Pitt). Please check the schedule on the website to find out if one of those is your required weekend to work. Remember, each child and a parent are required to take part in their assigned game ‘til the very end of the job. We always ask and urge a parent to accompany their child for each of these times to ensure responsible work and accurate finances .It is important that the student sign out with Mr./Mrs. Hensel before leaving the stadium.

Final Un-install of Stadium Seats - There are 6,000 permanent seats installed that need to be removed. At this time, Dec. 8, at 8:30 a.m. is the major “take off” day for the stadium seats. If a child and a parent did not take part in one of the MAJOR install days in August/September, then this “uninstall day” on Dec. 8 is a required event. Workers are asked to bring pliers, 9/16 ratchet, cordless drills, channel locks, or vice grips to ease the unbolting.

All band students are required to be responsible for their share of installing or uninstalling of stadium seats, in addition to their assigned “section night” to rent out the chairs at the stadium. Fulfilling both of these responsibilities earns the band student’s admission to the Christmas Dance. Without adequate participation, the band member will not be permitted to attend the dance.

At some time during the days prior, there may be an opportunity for individuals to report to the stadium to merely unbolt the chairs, thus making it easier for the upcoming Sat. workers to merely remove the chairs more quickly. Please watch for emails announce if/when this takes place. If you have questions about stadium seats, please speak with Robin or Pete Hensel, Stadium Seat Chairmen.

MR. REED’S REPORT:

Christmas Parade – Friday, December 7th at 6:30. We are the last group down the street, paving the way for Santa. Therefore, the students need to report to the top of High Street no later than 6:30.

B.E. Taylor Concert – Saturday, December 8 at the WVU Creative Arts Center, featuring the MHS Drumline. This has become a wonderful tradition and the tickets typically go quickly, so if you’re interested, act fast.

Christmas Concert – Thursday, December 13, 7:00 p.m. Band members are to wear their band uniforms. Parents are responsible for having the uniforms clean for this performance, in addition to clean, white dinkles, and clean white (only) calf length socks…typically expected performance standard. Students are to be there and ready at 6:00. Doors will open for parents and public at 6:30. Tickets will be $6 Adult and $4 child. Patron passes will be accepted.

Dress rehearsal for this concert will be the day prior, on Wed, Dec. 12th, after school 3:00 – 5:00.

Christmas Dance – Dec. 20 7:30 – 10:30 at Ramada Inn (Completion of Stadium Seat installation/uninstall and section game responsibility required to attend.) We are looking into having a photographer for the night.

General Announcements:

Plans are in the beginning stages for this year’s 8th Grade Bash to help make the incoming band families more aware of important things, such as registration forms, band camp, etc.

Next year’s Florida trip will probably be in March and everyone is asked to please keep in mind that costs will be up considerably from previous years due to the rising gasoline prices. Mr. Reed is looking into those interested in handling the transportation of the equipment and uniforms. We could possibly use the band trailer, but he’ll research more into this.

All State is March 27 – 29th in Wheeling (Spring Break is March 24 – 28).

Tryouts for next year’s bands will be in January around finals week, probably 14th -18th. Mr. Reed would like to have ours finished before time to go to the Middle Schools for tryouts.
